Job Description

JOB SUMMARY

The overall responsibility of the Tree of Life Administrator and Liaison is to provide support to the staff within Tree of Life, Social Services and the stateside Sponsorship Department. The TOL A&L will advise and pour into staff members to encourage development and growth. Ensure that proper systems, processes and procedures are developed, in place and implemented at the TOL.

Key Performance Areas

Dimensions of the Role

  • The TOL A&L reports to the Tree of Life Program Manager and does not directly line manage any staff.
  • The TOL A&L reports regularly to the TOL PM to provide updates on administration, communication between departments and any other relevant updates.
  • The TOL A&L will show support and coordination to the Care Plan Coordinator and the Multidisciplinary Team Coordinator where needed.
  • The TOL A&L will also make sure that systems, processes and procedures are created and being adhered to.
  • The TOL A&L has the responsibility for ensuring good stewardship of ministry resources on behalf of each department/program s/he serves.
  • The TOL A&L is responsible for leave tracking for all staff within Tree of Life.
  • The TOL A&L will assist the Program Manager with tracking all the finances for the Tree of Life.

Typical Responsibilities – Key End Results of Position

Administration

  • Leave Tracking: Responsible for keeping up to date records on leave tracking for all Tree of Life staff.
  • Policies and Procedures: Development and manage implementation of policies, procedures, and systems to support the vision of the ministry and ensure compliance to standards.
  • Finance Tracking: Responsible for the budget oversight of receipts, and ledger documentation.

Communication Liaison

  • Stateside: Responsible for keeping stateside informed of any house shifts, reintegration, discharges, and any other relevant information.
  • Cross Department: Encourage and help cross department communication, such as Social Services and Tree of Life.

Support

  • Show support and pour into the Tree of Life staff, specifically but not limited to the Care Plan Coordinator and Multidisciplinary Coordinator. Helping to teach and grow the staff.

Knowledge, Skills, and Behaviors required to achieve role’s objectives

  • Bachelor’s Degree
  • At least 3 years work experience in administration.
  • Fluency in English spoken and written
  • Competency in computer skills: Google Suite, virtual meeting platforms
  • 50 WPM typing and 7000 KPH data entry.
  • Valid Zambian Driver’s License
