Job Description

Our client is looking for a Personal assistant to the CEO to provide high-quality, proactive and confidential administrative and organisational support to the CEO, enabling them to focus on strategic priorities. Serve as the primary gatekeeper and liaison to internal and external stakeholders, co-ordinate logistics for meetings and travel, and m anage communications and project follow-ups.

KEY RESPONSIBILITIES

Calendar & diary management:
Manage a complex, high-demand calendar; plan and prioritise meetings; resolve scheduling conflicts; ensure the CEO is well-prepared          and briefed.

Email & correspondence management:
Screen, prioritise and respond on behalf of the CEO as appropriate; draft, proofread and send professional communications.

Meeting preparation and follow-up:
Prepare agendas, briefing packs, board/committee papers and presentations; take/produce accurate minutes and manage action-                  tracking and follow-ups.

Travel & event coordination:

Arrange national and international travel, itineraries, accommodations and visas; coordinate logistics for executive events and off-sites.

Stakeholder management:
Act as a professional point of contact for senior internal and external stakeholders; build effective working relationships with executive          leadership and the board.

Confidentiality & gatekeeping:
Handle sensitive information with discretion; maintain confidentiality at all times.

Project and ad-hoc support:
Support strategic projects, research and analysis; organise complex tasks and ensure timely delivery.

Expense & budget administration:
Manage expense submissions, small budgets and procurement for the CEO’s office where required.

Office & team liaison:
Coordinate with HR, finance, communications and facilities to ensure smooth executive operations.

Essential skills & experience
  • Grade 12 School Certificate
  • Diploma or Degree in Business Administration, Public Relations or other business related courses
  • Clean class B drivers license
  • Minimum 3–5 years’ experience as a PA/EA supporting C-suite (or equivalent).

Skills and attributes

  • Proven ability to manage complex diaries and prioritise conflicting demands.
  • Strong written and verbal communication; confident drafting executive-level correspondence.
  • Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint) and/or Google Workspace; experience with meeting and travel tools (e.g., Zoom/Teams, Concur) desirable.
  • High level of discretion, professionalism and integrity when handling confidential matters.
  • Excellent organisational skills, attention to detail and a proactive, can-do attitude.
  • Strong interpersonal skills and ability to build relationships with stakeholders at all levels.
  • Ability to work under pressure and manage competing deadlines.
