Job Description

Administrative Manager

Responsibilities;

Strategy Planning

  1. Play a central role, in conjunction with other senior managers, in forward planning and strategy development for the university.
  2. Ensure that the University operates within the provisions of its Charter, Statutes and applicable legislation.
  3. Ensure that there are appropriate functional strategies in place to support the University strategy and oversee the implementation of these strategies
  4. Take responsibility for the effective integration of processes across the University as a whole and for the improvement of these processes over time
  5. Play a central role in the initiation, development and implementation of major projects Liaison and Public Relations
  6. Represent the University externally as required
  7. Maintain appropriate external networks
  8. Represent the administrative services and senior management within the University.

General Administration

  1. Take responsibility for the effectiveness and efficiency of administrative services as a whole, intervening as and when require, to ensure that key objectives are met.
  2. Promote a culture of innovation, flexibility and quality in all aspects of administrative services
  3. Establish external benchmarks and appropriate KPIs as the basis for demonstrating the quality of administrative services
  4. Promote the financial and operational stability of the University, including the efficiency and effectiveness of its operations
  5. Ensure that there is appropriate non-financial management information available for decision making

Campus Management

  1. Facilitate planning for the campus in alignment with strategic planning
  2. Coordinate all areas of college life, business and learning. Supervise campus activities and maintains a campus environment that is safe, clean and conducive to learning.
  3. Enhancing the quality of life for faculty, students and staff by providing efficient and quality services designed to meet the diverse needs of the University community.
  4. Horticulture and landscaping Infrastructure
  5. Maintain Infrastructure that is agile, scalable, secure, and highly productive
  6. Overseeing facilities organization and Management TAU’s tremendous physical resources in the most efficient and effective manner.
  7. Ensure that all equipment/ systems are covered under the Annual Maintenance Contract
  8. Help optimize the performance of data center resources thereby reducing overhead costs.

Vehicle Management

  1. Ensure optimal and most cost effective usage of university owned vehicle
  2. Monitor vehicle movement through GPS Risk Management and Disaster plan
  3. To define and implement the risk / disaster policy for the university which would encompass man, material, infrastructure, data and more
  4. Provide oversight to the University Secretary in risk management, academic records management and maintaining external regulatory frameworks
  5. Ensure all building, vehicle, equipment, staff and faculty are covered by appropriate insurance.

Purchase/ Stores and Inventory/ Vendor Management

  1. Developing the Organization towards an effective and optimum sourcing capacity.
  2. Developing closer relationships with the suppliers and foster”win-win,”‘ atmosphere that eliminates inefficiency and waste.
  3. Building strong linkage between user departments and materials management function.
  4. Improving materials procurement and management processes by developing focused sourcing strategies.
  5. Responsible for TAU’s property inventory and the surplus property program
  6. Identify appropriate vendors and establish mutually strong relationship with vendors thereby resulting in reduced costs, better quality, and better service from the vendors

Front Office Activities

  1. Monitor all Front Office Activities such as Ticketing, Visa, hotel booking, material (inward / outward) movement, courier/mail, call (inward/outward), house keeping
  2. Airport pickup and drop of students/ faculty/staff and guests Housing
  3. To help create an appropriate living environment for all faculty and staff of TAU .
  4. Ensure timely allocation of housing to staff and students, which is within the budget laid down
  5. Ensure housing in safe area and is allocated as per eligibility and laid down SOP IT department
  6. To provide an oversight to the IT department in meeting the objectives of the Registrar’s office
  7. To plan for expansion, upgradation of software, hardware and applications to be in line with the expansion plans of the university
  8. To ensure that all data is duly protected and secure and properly backed up
  9. To ensure that the firewalls, anti-virus ad other related software is updated and active
  10. Promote and support the development of partnerships and integration between the faculties and administrative services
  11. Develop ways of attracting good people to work within the administrative services and to develop and retain talent within them. Ensure that appropriate performance management and succession planning is in place.
  12. Determine reasons for attrition and collect Information at the time of employee exit for research purposes, to document the reasons individuals leave employment, to identify potential problem areas, and to improve personnel practices and the overall work environment.

Public Safety

  1.  In charge of Public Safety and security and ensure that the University is charged with creating a safe and secure environment.
  2. Create an aware, informed, alert campus community – students, faculty, and staff who use reason and caution – along with a strong public safety presence
  3. To make sure that the infra-structure, building, equipment is duly insured
  4. To ensure that the security is adequate and vigilant

Statutory Requirements

  1. Ensure that all statutory requirements with regards to environment, legal, safety are duly adhered to
  2. To provide all administrative support to the university to achieve / adhere to academic statutory requirements

Accreditation

  1. To provide dedicated administrative assistance to the Accreditation Committee
  2. To support the activity of the Accreditation Committee’s endeavor for accreditation with various agencies especially CAAM-HP
  3. To represent the Accreditation Committee internally where required perform any other lawful duties as assigned.

Educational Qualifications

Bachelor Degree in Business Administration or higher.

Experience

3-5 yrs experience
